Chapter 1

Introduction

The Star Track Express Web Despatch System allows customers to enter their consignments, print labels and submit casual pickup booking requests via the web.

This guide introduces you to the Web Despatch System and takes you step by step through the following options:

  • how to access Web Despatch
  • how to print test labels
  • how to enter a connote
  • how to view connotes
  • how to delete connotes
  • how to track connotes
  • how to print and reprint labels
  • how to print and reprint a despatch summary
  • how to request a casual pickup booking

Chapter 2

Web Despatch Process

The steps in the Web Despatch Process are as follows:

Step... Why...
1. Enter Connotes To despatch your goods using
Star Track Express
2. Print Labels To attach labels to your goods for identification and tracking
3. Delete Unwanted Connotes
    (if required)
To delete connotes entered today for goods you no longer want to despatch
4. Print a Despatch Summary
    (one per day)
To provide details of all your despatches for today to the Star Track Express Driver and to transfer your consignment data to Star Track Express
5. Request a Casual Pickup
    Booking (if required)
To request a casual pickup booking for your goods (note: NOT required if you already have a regular pickup)

Important Label Information

It is important that all labels are printed on self-adhesive labels for laser printers
(2 labels per A4 page).

The following labels have been tested:

  • Avery A4 Laser Labels (Laser L7168)

  • JAC Self-Adhesive Precut Labels for Printers (JA4 139194 WHITE LASER)

  • Unistat Laser/Inket/Photocopier Labels (38938)

These labels can be purchased at any office/stationery suppliers, Corporate Express, National 1, OfficeWorks etc.

Chapter 3

How to Access Web Despatch

You need to register with Star Track Express to be able to use Web Despatch.

Once you have registered you will be emailed your username, password and despatch id for Web Despatch.

Web Despatch can be accessed from the Star Track Express main web page (www.startrackexpress.com.au).

From the Star Track Express main web page:

The Login screen will appear.

Login to Web Despatch

You need to login to the Star Track Express Web Despatch System.

At the Login screen you will be asked for your user name and password:

    BD14565_.GIF (183 bytes) Enter your password (note: your password may be in mixed case)
    BD14565_.GIF (183 bytes) Click on the Submit button

Once you have entered your correct username and password the Main Menu screen will appear.

From the Main Menu screen:

    BD14565_.GIF (183 bytes) Click on the WEB DESPATCH option

The Enter Connote screen will appear.

You can also access the TRACK & TRACE and PROOF OF DELIVERY systems from the Main Menu.

In these circumstances... Do the following...
Unable to login to Web Despatch BD14565_.GIF (183 bytes) Double check you have entered your user name and password correctly
(note: your password may be in mixed case)
Still unable to login to Web Despatch BD14565_.GIF (183 bytes) Contact the Star Track Express Help Desk on 1800 028 361 during business hours for assistance
If you have already logged in with a different session BD14565_.GIF (183 bytes) Select the End Other Sessions checkbox and click on the Continue button

Logout of Web Despatch

You need to logout of once you have finished using the Star Track Express Web Despatch System.

From the Main Menu screen:

    BD14565_.GIF (183 bytes) Click on the LOGOUT option

Once you have logged out of the Star Track Express main page screen will appear.

You have now successfully logged out of Web Despatch.

Chapter 4

Web Despatch Menu Options

You can select the following options from the Web Despatch Menu:

    1.  Test Label
    2.  Enter Connote
    3.  Reprint Labels
    4.  View/Delete Connotes
    5.  Despatch Summary
    6.  Reprint Summary
    7.  Pickup Booking
    8.  Help

    Click on the option you require

Once you have selected an option the appropriate screen will appear.

Chapter 5

How to Print Test Labels

When you first access Web Despatch you may wish to print some test labels.

This will verify the labels and barcodes print correctly on your printer.

From the Web Despatch Menu screen:

The Test Labels screen will appear.

From the Test Labels screen:

    BD14565_.GIF (183 bytes) Click on the print option to print a hard copy of the test labels on your
         default printer
    BD14565_.GIF (183 bytes) Check the labels and barcodes have printed correctly
         (2 labels per A4 page)
    BD14565_.GIF (183 bytes) Click on the <- Back button on your browser to exit the test labels
         screen

The Web Despatch Menu screen will appear.

In these circumstances... Do the following...
The test labels or barcodes DO NOT print correctly on your printer
(2 labels per A4 page)

Chapter 6

How to Enter a Connote

You need to enter connotes with the details of the goods you want to despatch using Star Track Express.

This is required to record your receiver details, service required, number of items, weight and volume of items and to produce the labels for your goods.

From the Web Despatch Menu screen:

The Despatch (1) screen will appear.

From the Despatch (1) screen:

    BD14565_.GIF (183 bytes) Select the sender account from the dropdown list
    BD14565_.GIF (183 bytes) Enter your receiver details or select a receiver from the dropdown list
    BD14565_.GIF (183 bytes) Click on the Find Location button to obtain the correct location,
         post code and state for your receiver
    BD14565_.GIF (183 bytes) Select the Update Receiver List radio button to add frequently used
         receivers to your receivers list
    BD14565_.GIF (183 bytes) Select the Notify Receiver radio button to automatically send an email to
         the receiver of your goods
    BD14565_.GIF (183 bytes) Click on the Next>> button to move to the next screen

The Despatch (2) screen will appear.

    BD14565_.GIF (183 bytes) Select the unit type from the dropdown list
    BD14565_.GIF (183 bytes) Enter the number of items, weight and volume of items
    BD14565_.GIF (183 bytes) Click on the Calculate button to calculate the cubic volume
         for the despatch by entering the quantities, lengths, widths and heights for
         the items
    BD14565_.GIF (183 bytes) Select the service required from the dropdown list
    BD14565_.GIF (183 bytes) Select the Dangerous Goods radio button if your consignment contains
         dangerous goods
    BD14565_.GIF (183 bytes) Enter the despatch date if not todays date (format DD/MM/YYYY)
    BD14565_.GIF (183 bytes) Enter any other details you want to include on the connote
    BD14565_.GIF (183 bytes) Click on the Submitbutton to complete entry of the connote

The Print Labels screen will appear.

You can now print the labels for your consignment (see the next section -
How to Print Labels).

Use the Reset button to clear the details on the connote.

Use the <<Prev button to return to the previous screen.

How to Print Labels

You need to print and attach labels to your goods for identification and tracking.

Labels can be printed after you have entered your connotes with the details of the goods you want to despatch (see the previous section - How to Enter a Connote).

It is important that all labels are printed on self-adhesive labels for laser printers (see Chapter 2 - Important Label Information).

The labels will be printed on your default laser printer.

From the Print Labels screen:

    BD14565_.GIF (183 bytes) Click on the Print button to print the first page of labels and to move
         to the next page of labels (2 labels per A4 page)
    BD14565_.GIF (183 bytes) Click on the Print button again until all the labels have been printed

Note: use the Next button to move to the next page of labels if you are using Netscape as your internet browser.

When you have finished printing the labels an "All labels have been printed" message will be displayed and the Web Despatch Menu screen will appear.

You can reprint labels for existing connotes if a problem has occurred when printing the labels (see the next section - How to Reprint Labels).

In these circumstances... Do the following...
The labels or barcodes DO NOT print correctly on your printer
(2 labels per A4 page)

How to Reprint Labels

You may need to reprint labels if a problem has occurred when printing the labels.

Labels can be reprinted after you have entered your connotes with the details of the goods you want to despatch (see the previous section - How to Enter a Connote).

The labels will be printed on your default laser printer.

From the Web Despatch Menu screen:

The Reprint Label screen will appear.

From the Reprint Label screen:

    BD14565_.GIF (183 bytes) Enter the connote number for the labels you need to reprint
    BD14565_.GIF (183 bytes) Click on the Display button to display the labels
    BD14565_.GIF (183 bytes) Check the label details to ensure you have selected the correct connote
    BD14565_.GIF (183 bytes) Click on the Reprint button to print the first page of labels and to move
         to the next page of labels (2 labels per A4 page)
    BD14565_.GIF (183 bytes) Click on the Reprint button again until all the labels have been printed

Note: use the Next button to move to the next page of labels if you are using Netscape as your internet browser.

When you have finished printing the labels an "All labels have been printed" message will be displayed and the Web Despatch Menu screen will appear.

You can recall and view existing connote details if you do not know the connote number for the labels you need to reprint (see Chapter 7 - How to View Current Connotes).

In these circumstances... Do the following...

Any other informational messages are displayed BD14565_.GIF (183 bytes) Check the message details and follow any instructions provided
The labels or barcodes DO NOT print correctly on your printer

Chapter 7

How to View Current Connotes

You can recall and view existing connote details in Web Despatch.

Connotes entered today can be recalled from the View/Delete Connotes screen.

From the Web Despatch Menu screen:

The View/Delete Connotes screen will appear.

From the View/Delete Connotes screen:

    BD14565_.GIF (183 bytes) the date range used to search for connotes will default to todays date
    BD14565_.GIF (183 bytes) Click on the connote number for the connote you want to view or print
    BD14565_.GIF (183 bytes) Check the connote currently displayed on the screen is the one you want
         to view or print
    BD14565_.GIF (183 bytes) Click on the Print button to print a hard copy of the connote on
         your default printer
    BD14565_.GIF (183 bytes) Close the Connote Details screen to exit

Once you have exited the Connote Details screen the View/Delete Connotes screen will appear.

Previously entered connotes can also be recalled and viewed
(see the next section - How to View Old Connotes).

In these circumstances... Do the following...
The message "No connotes found" is displayed BD14565_.GIF (183 bytes) Check the date range for the connote listing is todays date and refresh the listing by clicking on the Refresh button
The Connote Listing is empty BD14565_.GIF (183 bytes) Refresh the connote listing by clicking on the Refresh button

How to View Old Connotes

You can recall and view old connote details in Web Despatch.

Previously entered connotes can be recalled from the View/Delete Connotes screen.

From the Web Despatch Menu screen:

    BD14565_.GIF (183 bytes) Click on the View/Delete Connotes option

The View/Delete Connotes screen will appear.

From the View/Delete Connotes screen:

    BD14565_.GIF (183 bytes) Enter the date range to be used to search for previous connotes
         (default is todays date)
    BD14565_.GIF (183 bytes) Click on the Refresh button
    BD14565_.GIF (183 bytes) Click on the connote number for the connote you want to view or print
    BD14565_.GIF (183 bytes) Check the connote currently displayed on the screen is the one you want
         to view or print
    BD14565_.GIF (183 bytes) Click on the Print button to print a hard copy of the connote on
         your default printer
    BD14565_.GIF (183 bytes) Close the Connote Details screen to exit

Once you have exited the Connote Details screen the View/Delete Connotes screen will appear.

Connotes entered today can also be recalled and viewed
(see the previous section - How to View Current Connotes).

In these circumstances... Do the following...
The message "No connotes found" is displayed BD14565_.GIF (183 bytes) Check the date range for the connote listing is correct and refresh the listing  by clicking on the Refresh button

Chapter 8

How to Delete Connotes

You can recall and delete connotes in Web Despatch.

This may be required if you want to delete connotes entered today for goods you no longer want to despatch.

From the Web Despatch Menu screen:

The View/Delete Connotes screen will appear.

From the View/Delete Connotes screen:

    BD14565_.GIF (183 bytes) the date range used to search for connotes will default to todays date
    BD14565_.GIF (183 bytes) Click on the connote number for the connote(s) you want to delete
    BD14565_.GIF (183 bytes) Check the connote(s) currently displayed on the screen is the one you
         want to delete
    BD14565_.GIF (183 bytes) Close the Connote Details screen
    BD14565_.GIF (183 bytes) Select the Delete checkbox next to the connote(s) you want to delete
    BD14565_.GIF (183 bytes) Click on the Delete selected Connotes button to delete
         the connote(s)

The deleted connotes will automatically disappear from the View/Delete Connotes screen.

the Despatch Summary.

In these circumstances... Do the following...

Chapter 9

How to Track Connotes

You can recall and track your consignments in Web Despatch.

Previously entered connotes can be recalled from the View/Delete Connotes screen.

From the Web Despatch Menu screen:

The View/Delete Connotes screen will appear.

From the View/Delete Connotes screen:

    BD14565_.GIF (183 bytes) Enter the date range to be used to search for previous connotes
         (default is todays date)
    BD14565_.GIF (183 bytes) Click on the Refresh button
    BD14565_.GIF (183 bytes) Click on the Track button next the connote you want to track
    BD14565_.GIF (183 bytes) Check the connote currently displayed on the Track & Trace screen is
         the consignment you want to track
    BD14565_.GIF (183 bytes) Click on the <- Backbutton on your browser to exit the Track & Trace
         screen

The View/Delete Connotes screen will appear.

In these circumstances... Do the following...
The message "No connotes found" is displayed BD14565_.GIF (183 bytes) Check the date range for the connote listing is correct and refresh the listing  by clicking on the Refresh button
Any other informational messages are displayed BD14565_.GIF (183 bytes) Check the message details and follow any instructions provided
The Connote Listing is empty BD14565_.GIF (183 bytes) Refresh the connote listing by clicking on the Refresh button

Chapter 10

How to Print a Despatch Summary

You need to print a Despatch Summary report in Web Despatch.

This is required to provide details of your despatches for today to the Star Track Express Driver and to transfer your consignment data to Star Track Express.

The initial printing of the Despatch Summary report must be done in two steps:

Step 1:    Print the summary

Step 2:    Did the Despatch Summary print sucessfully?
                (Yes Connotes included on this summary cannot be deleted OR
                 No  Return to Step 1 and reprint summary)

From the Web Despatch Menu screen:

    BD14565_.GIF (183 bytes) Click on the Despatch Summary option

The Despatch Summary screen will appear.

From the Despatch Summary screen:

    BD14565_.GIF (183 bytes) Check the contents of the Despatch Summary report are correct -
         number of connotes, items, weight and volume of items,
         service(s) required

    BD14565_.GIF (183 bytes) Set the Multiple Pickup checkbox to Yes or No (as appropriate)
    BD14565_.GIF (183 bytes) Click on the Print option to print a hard copy of the Despatch Summary
         report on your default printer
    BD14565_.GIF (183 bytes) Check the Despatch Summary report printed correctly
    BD14565_.GIF (183 bytes) Click on Yes Connotes included on this summary cannot be deleted
         (if the Despatch Summary report printed successfully) OR
         No Return to Step 1 and reprint summary

When you have finished printing the Despatch Summary report a "Despatch Summary printed and updated successfully" message will be displayed and the Web Despatch Menu screen will appear.

You can reprint a Despatch Summary report if a problem has occurred when printing the original despatch summary report (see the next section - How to Reprint a Despatch Summary).

In these circumstances... Do the following...
The message "Despatch Summary contained no data" is displayed BD14565_.GIF (183 bytes) Check you have entered connotes for today or you have already printed the Despatch Summary for today

How to Reprint a Despatch Summary

You may need to reprint a Despatch Summary report if a problem has occurred when printing the original despatch summary report.

The Despatch Summary report is required to provide details of your despatches to the Star Track Express Driver.

From the Web Despatch Menu screen:

    BD14565_.GIF (183 bytes) Click on the Reprint Summary option

The Reprint Despatch Summary screen will appear.

From the Reprint Despatch Summary screen:

    BD14565_.GIF (183 bytes) Enter the date to be used to search for previous despatch summaries
         (default is todays date)
    BD14565_.GIF (183 bytes) Click on the Display button
    BD14565_.GIF (183 bytes) If multiple despatch summaries were printed for this date then select the
         Despatch Summary report you wish to reprint from the list
    BD14565_.GIF (183 bytes) Check the contents of the Despatch Summary report are correct -
         number of connotes, items, weight and volume of items,
         service(s) required

    BD14565_.GIF (183 bytes) Set the Multiple Pickup checkbox to Yes or No (as appropriate)
    BD14565_.GIF (183 bytes) Click on the Print button to print a hard copy of the Despatch Summary
         report on your default printer
    BD14565_.GIF (183 bytes) Check the Despatch Summary report printed correctly

In these circumstances... Do the following...
The message "No Despatch Summaries were printed for this date." is displayed BD14565_.GIF (183 bytes) Check you have entered connotes and used the correct date to search for previous despatch summaries
Any error messages are displayed BD14565_.GIF (183 bytes) Check the message details and correct the date used to search for previous despatch summaries
Any other informational messages are displayed BD14565_.GIF (183 bytes) Check the message details and follow any instructions provided

Chapter 11

How to Request a Casual Pickup Booking

You may need to request a casual pickup booking for your goods in Web Despatch.

This is required to provide details of your pickup to Star Track Express.

From the Web Despatch Menu screen:

    Click on the Pickup Booking option

The Pickup Booking screen will appear.

From the Pickup Boooking screen:

    BD14565_.GIF (183 bytes) Check the contents of the pickup booking request are correct - quantity
         and weight of items etc.
    BD14565_.GIF (183 bytes) Select the goods description from the dropdown list
         (always select the largest item)
    BD14565_.GIF (183 bytes) Select the service required from the dropdown list
    BD14565_.GIF (183 bytes) Enter the estimated size of items - length, width and height
    BD14565_.GIF (183 bytes) Select the destination for the goods from the dropdown list
         (choose VARIOUS for multiple destinations)
    BD14565_.GIF (183 bytes) the pickup date will default to todays date
    BD14565_.GIF (183 bytes) Enter the time the goods will be ready for pickup and your or your clients
        closing time
    BD14565_.GIF (183 bytes) Enter any special instructions relevant to the pickup
    BD14565_.GIF (183 bytes) Select the bulk pickup checkbox if the pickup is for a bulk item(s)
    BD14565_.GIF (183 bytes) Click on the Submit button to submit the pickup booking request

When you have submitted your pickup booking request a "Your pickup booking has been submitted. A confirmation will be sent to you via email." message will be displayed and the Web Despatch Menu screen will appear.

You will be automatically sent an Email confirming your casual pickup booking.

Use the Reset button to clear the details on the pickup booking request.

In these circumstances... Do the following...

12 23 45 if you want to book another pickup for today
Any error messages are displayed at the top of the screen BD14565_.GIF (183 bytes) Check the message details and correct the details on your pickup booking request

The message "Warning: The time booked is after the cut-off time. Your pickup may be scheduled for the next business day." is displayed BD14565_.GIF (183 bytes) Note the pickup may be scheduled for the next business day
The message "Warning: The time ready is after the cut-off time. Your pickup may be scheduled for the next business day." is displayed BD14565_.GIF (183 bytes) Note the pickup may be scheduled for the next business day

How to Request a Casual Pickup Booking for the Next Business Day

You may need to request a casual pickup booking for the next business day in Web Despatch.

This may be required if you have missed your local branch cut-off times for casual pickups.

From the Web Despatch Menu screen:

    BD14565_.GIF (183 bytes) Click on the Pickup Booking option

The Pickup Booking screen will appear.

From the Pickup Boooking screen:

    Check the contents of the pickup booking request are correct - quantity
         and weight of items etc.

    BD14565_.GIF (183 bytes) Select the goods description from the dropdown list
         (always select the largest item)
    BD14565_.GIF (183 bytes) Select the service required from the dropdown list
    BD14565_.GIF (183 bytes) Enter the estimated size of items - length, width and height
    BD14565_.GIF (183 bytes) Select the destination for the goods from the dropdown list

When you have submitted your pickup booking request a "Your pickup booking has been submitted. A confirmation will be sent to you via email." message will be displayed and the Web Despatch Menu screen will appear.

You will be automatically sent an Email confirming your casual pickup booking.

Use the Reset button to clear the details on the pickup booking request.

In these circumstances... Do the following...

Chapter 12

How to Change Your Password

You can change your password for the Star Track Express Web Despatch System.

From the Main Menu screen:

    BD14565_.GIF (183 bytes) Click on the CHANGE PASSWORD option

The Change Password screen will appear.

At the Change Password screen you will be asked for your old and new passwords:

    BD14565_.GIF (183 bytes) Enter your old password
    BD14565_.GIF (183 bytes) Enter your new password (note: your password may be in mixed case)
    BD14565_.GIF (183 bytes) Re-enter your new password
    BD14565_.GIF (183 bytes) Click on the Change Password button

Your password has now been changed.

How to Access On-line Help

An on-line user guide has been provided for the Star Track Express Web Despatch System.

From the Web Despatch Menu screen:

The Web Despatch User Guide screen will appear.
